Operations Manager — Luxury Group Travel

Company: The Luxè Week

Location: Remote with international travel

Type: Full-time

About Us

The Luxè Week is a global group travel company delivering curated, high-energy travel experiences across destinations including Bali, Greece, Dubai, Thailand, Cape Town, Japan, and more.

We create unforgettable weeks that combine luxury accommodation, seamless logistics, curated experiences, and exceptional guest service.

As we continue expanding into new destinations, we’re looking for an elite Operations Manager to own and elevate the execution of every trip.

This is not a standard travel role — it is a leadership position responsible for orchestrating complex international experiences from concept to on-the-ground delivery.

The Role

As Operations Manager, you will be responsible for designing, planning, and executing multi-destination travel experiences while controlling budgets, managing vendors, and ensuring every trip runs flawlessly.

You will act as the operational backbone of the company — partnering with leadership, sales, marketing, and on-site teams to deliver world-class guest experiences.

What You’ll Own

End-to-End Trip Planning

  • Build and continuously improve trip itineraries based on guest expectations and past learnings
  • Ensure all experiences align with budget and pricing strategy
  • Maintain destination master sheets covering pricing, vendors, logistics, accommodation, and communications

Vendor & Partner Management

  • Source, negotiate, and contract accommodations, activity providers, transport partners, and hospitality vendors
  • Optimize payment terms, deposits, and cancellation policies
  • Build long-term supplier relationships while continuously benchmarking for better options

Accommodation & Logistics

  • Secure accommodations 6–9 months in advance
  • Coordinate transportation, breakfasts, activities, and guest flow
  • Manage complex logistics such as ferries, flights, and multi-location trips

Financial Oversight

  • Control trip budgets and vendor payments
  • Forecast upcoming expenses and coordinate approvals
  • Ensure operational decisions support overall trip profitability

Team & Staffing

  • Recruit, hire, and onboard event hosts
  • Determine staffing ratios (typically 1 host per 10–15 guests)
  • Partner with local talent wherever possible to improve execution

Guest Experience

  • Oversee guest communications from ~2 months before departure through post-trip follow-ups
  • Manage villa/room allocations using guest personality data
  • Step in to handle escalated customer situations when required

Sales & Internal Coordination

  • Maintain accurate booking visibility for the sales team
  • Work cross-functionally with marketing, partnerships, finance, and leadership

What Makes This Role Unique

You will operate across multiple global destinations — some well-established, others launching for the first time — requiring both operational rigor and startup-level adaptability.

Expect high ownership, real decision-making authority, and the opportunity to shape the future of a fast-growing travel brand.

Who You Are

We’re looking for a builder, not a task manager.

Must-Haves:

  • 3–8+ years in operations, travel, events, hospitality, or experiential logistics
  • Proven ability to manage complex projects with many moving parts
  • Strong negotiation skills
  • Financial fluency (budgets, margins, cost control)
  • Exceptional organizational ability

Huge Plus:

  • Experience operating international events or group travel
  • Vendor sourcing experience
  • Remote team coordination
  • Crisis management capability
  • Comfortable working across time zones

Personality Fit:

  • Calm under pressure
  • Extremely proactive
  • Detail-obsessed
  • Solutions-first mindset
  • Naturally high ownership

Travel

This role is primarily remote but may require travel to destinations during key weeks.

Reporting Line

You will work closely with the COO/CFO for operational and financial approvals and act as a central leader across departments.

Why Join Luxè Week?

  • Operate globally
  • Own high-impact experiences
  • Work with a fast-scaling travel brand
  • Real autonomy
  • Leadership exposure
  • Build systems that scale internationally
