We’re now looking for a highly capable Operations Manager to help us scale our delivery, systems, and team as we enter our next phase of growth.
The Role
As Operations Manager, you will work closely with the General Manager and key stakeholders to ensure the company runs like a well-oiled machine. From refining internal processes to overseeing project delivery, partner relationships, compliance, and team coordination—you’ll be the backbone that enables innovation to scale.
This is a hands-on, cross-functional role perfect for someone who thrives in fast-paced environments, thinks in systems, and loves solving problems before they become problems.
Key Responsibilities
- Process & Workflow Design
- Build, document, and improve scalable SOPs across client onboarding, delivery, QA, and support.
- Project Management
- Ensure seamless implementation of voice AI and automation projects, on time and on budget. Track milestones and manage cross-functional dependencies.
- Team Coordination & Capacity Planning
- Align dev, design, conversation strategy, and support teams to ensure delivery is resourced and efficient.
- Client Implementation Oversight
- Partner with clients (including NFPs, real estate, and BPOs) to ensure successful setup, voice AI logic execution, CRM integrations, and post-launch success.
- Data, Reporting & BI
- Own operational dashboards and performance reporting across the business. Turn insight into action.
- Compliance & Risk Management
- Oversee operational compliance across AI voice, SMS/MMS, and privacy regulations (e.g., Spam Act, GDPR equivalents).
- Platform Partner Coordination
- Work with our integrations team on Monday.com, GoHighLevel, and Xero workflows to ensure smooth deployment and data sync.
- Continuous Improvement
- Identify bottlenecks, inefficiencies, or gaps—and fix them. Proactively test and implement better tools, automations, or workflows.
What We’re Looking For
- 4+ years of experience in operations, project management, or implementation—preferably in SaaS, tech, or digital agencies.
- Strong process thinker with an ability to balance structure with startup-level agility.
- Experience managing cross-functional teams and projects.
- Comfortable with CRMs (Monday.com, Hubspot, GoHighLevel), BI tools, and automation platforms.
- Bonus: Familiarity with AI, telephony, or outbound communication platforms.
- Exceptional communicator—written, verbal, and interpersonal.
- Must love making chaos calm.
