We’re looking for a highly organized and proactive Executive Assistant to provide high-level administrative and operational support to the Senior Director of Security Sales Asia and their broader team.
This is a part-time role ideal for someone who thrives in a fast-paced, global environment and excels at keeping operations running smoothly behind the scenes.
As the Executive Assistant, you will play a critical role in enabling leadership to focus on strategic work by managing day-to-day operations, coordinating across time zones, and supporting a team of 20.
What You’ll DoCalendar & Meeting Management
- Manage complex calendars and schedule meetings across multiple time zones (especially India and Singapore).
- Coordinate logistics including room bookings, attendee tracking, and materials preparation.
- Organize and prioritize meetings based on business needs and follow up on action items.
Travel & Expense Support
- Arrange domestic and international travel and manage itinerary changes.
- Prepare and submit accurate expense reports.
- Liaise with finance teams as needed (expenses expected to be minimal except for special events or client visits).
Team & Project Coordination
- Support a team of 20—including 5 direct reports—by tracking training, compliance, and delegated tasks.
- Follow up on project deliverables and compliance requirements.
- Act as a liaison between leaders, team members, and cross-functional stakeholders.
Administrative Excellence
- Handle sensitive information with discretion and confidentiality.
- Maintain efficient, compliant administrative processes.
- Assist with onboarding of new team members as needed.
What We’re Looking For
- 5+ years of experience as an Executive Assistant or in a similar senior administrative role.
- Experience supporting senior leaders; prior experience in a global tech company is an advantage.
- Advanced proficiency in Microsoft Outlook, Word, Excel, and Teams.
- Experience with travel booking and expense management systems.
- Outstanding organizational, communication, and interpersonal skills.
- High attention to detail, resourcefulness, and ability to work independently.
- Ability to handle confidential information with professionalism.
- Availability to work part-time (20 hours/week) during afternoon hours (1pm–5pm).
- Comfortable working remotely, with occasional on-site presence if needed.
