A leading provider of education, training, and advice in regenerative agriculture is seeking a highly organised and proactive Personal Assistant to support a key member of their leadership team.   • Monitor and manage the Managing Director’s inbox to ensure timely responses and effective prioritisation of tasks, acting as a gatekeeper for communications.
  • Draft and send emails on behalf of the Managing Director to streamline time management, coordinate follow-ups, and maintain strong relationships with clients and internal teams.
  • Organise and maintain the executive calendar by scheduling client meetings, internal commitments, and personal focus time while proactively resolving potential conflicts.
  • Assist with travel arrangements including booking transportation and accommodation, preparing necessary documentation, and ensuring all logistics are handled efficiently.
  • Prepare meeting agendas, take minutes when required, and ensure all relevant materials are distributed ahead of time for seamless meeting execution.
  • Track committed actions for the Managing Director by allocating appropriate time for completion and following up on delegated tasks with both team members and clients.
  • Identify inefficiencies or gaps in current processes over time and propose practical solutions to improve workflow management within the leadership team.
  • Support general administrative needs such as document preparation, expense tracking, and maintaining confidential records with accuracy and discretion.
  • Collaborate with other team members to ensure alignment on priorities and deadlines while fostering a cooperative working environment.
  • Utilise digital tools including email platforms, calendar systems, task management software, Microsoft Office Suite or Google Workspace to maximise productivity.

Key Requirements

  • Demonstrated experience providing high-level support as a Personal Assistant or Executive Assistant within a professional environment where confidentiality is paramount.
  • Exceptional organisational skills paired with an unwavering attention to detail that ensures nothing falls through the cracks.
  • Excellent written and verbal communication abilities enabling you to draft clear correspondence on behalf of senior leaders.
  • Proven capability to work independently from a remote location while remaining accountable for deliverables and timelines.
  • Advanced proficiency using digital tools such as email platforms (e.g., Outlook or Gmail), calendar systems (e.g., Google Calendar), task management software (e.g., Asana or Trello), as well as Microsoft Office Suite or Google Workspace applications.
  • A proactive mindset that enables you to anticipate needs before they become urgent issues and solve problems efficiently without constant direction.
  • Confidence in giving gentle direction or making thoughtful suggestions aimed at improving processes or reducing workload for others.
  • Experience tracking actions assigned during meetings or projects through to completion by following up diplomatically with colleagues or clients.
  • Ability to handle multiple priorities simultaneously while maintaining composure under pressure in a fast-evolving environment.
  • A collaborative spirit that thrives in team settings where open communication and mutual support are valued.
