Practice Manager (Part-Time, Remote)

About Us

Mindkit Psychology is a neurodivergent-led clinic offering therapy and comprehensive assessments, including ADHD, Autism, neurological, and psychiatric conditions. We blend clinical expertise with lived experience to provide care that is both effective and deeply human. We tailor every service to the individual using a neuroaffirming, person-centred approach. Services are offered in-person and via Telehealth.

The Role

We are seeking a highly organised and experienced Practice Manager to oversee the daily operations and administrative functions of our team. This is a part-time remote role for 20 hours per week across weekdays at $40-50 AUD per hour plus Superannuation.

Key Responsibilities

  • Operational Management: Maintain and refine internal policies, procedures, and workflows for the practice's operations.
  • Financial Oversight: Manage the practice budget, process payroll through accounting software, and oversee invoicing and billing procedures.
  • HR & Recruitment: Manage end-to-end recruitment including job postings, interviews, and onboarding of new clinicians and administrative staff.
  • IT & Systems: Coordinate Halaxy practice management software updates, troubleshoot user issues, and liaise with technical support as needed.
  • Compliance: Ensure adherence to privacy regulations and maintain confidentiality protocols across all practice operations.

Essential Skills & Experience

  • Minimum 2 years of experience in practice management, office management, or a senior administrative/operations role.
  • Demonstrated ability to manage budgets and financial processes including payroll administration.
  • Exceptional leadership, communication, and interpersonal skills.
  • Proficient in Microsoft Office 365 and project management tools (Asana experience or willingness to learn).
  • Experience with Halaxy practice management software is advantageous.

Location

This is a fully remote position. While candidates based in Australian time zones are preferred for time zone alignment, we welcome applications from qualified candidates in all locations.
