Coast Wide Training Solutions is looking for an experienced RTO Administration Consultant to support our clients across the VET sector. As a motivated and self-directed individual with excellent organisational and communication skills who thrives in a fast paced and autonomous role, you will use your expert level knowledge of RTO administrative operations and Student Management System experience to provide RTO Administrative support and guidance, delivering service excellence and valued outcomes for our RTO clients who are based all around Australia.
This is a flexible part time or casual position up to 20 hours per week. We are a 100% remote team, working from our home offices across hours and days that suit our lifestyle.
You will be responsible for…
- RTO Administration Solutions: Working with client representatives to provide RTO administrative, student, and course management solutions.
- Administration Processes: Developing and implementing administration processes to improve RTO efficiency and quality.
- Enrolment and Registration Support: Assisting with student enrolment and registration processes, including verifying eligibility, processing applications, and managing enrolment records.
- Scheduling and Calendar Management: Managing training schedules, class calendars, and instructor availability to ensure smooth operations.
- Student Progress Tracking: Monitoring student progress, including attendance, performance, and compliance with assessment requirements.
- Data Management and Reporting: Managing and analysing Student Management Systems and associated data related to student outcomes, compliance records, and reporting to regulatory authorities.
- Document Management: Organising and maintaining electronic and physical records, including student files, compliance documentation, and administrative records.
- Quality Assurance Audits: Conducting internal audits to assess the quality and effectiveness of training programs and administrative processes.
- Technology Integration: Facilitating and maintaining software systems and tools for better administrative efficiency, such as Student Management Systems (SMS) and Learning Management Systems (LMS).
About You
You're an experienced RTO administrator who thrives working autonomously and enjoys variety in your day. You have your own home office and relish the flexibility to work from home whilst remaining connected to your remote team. You understand the practical realities of RTO administration, compliance and student management, and you bring excellence to the work you do for clients.
You will have…
- Superior knowledge and skills in RTO Administration and Student Management practices with at least two (2) years' experience.
- In-depth applied knowledge of VETTrak, eSkilled and aXcelerate or other Student Management Systems.
- Experience in state-based funding requirements including data reporting for NSW and QLD as a minimum.
- Experience in optimising WordPress and SMS/LMS integrations
- Understanding of VET Regulatory and government Standards and Compliance
- Sound project and time management skills using online software systems including AI assisted workflows.
- Outstanding communication skills, and experience in communicating with a range of internal and external stakeholders in both written and verbal forms.
- Exceptional computer literacy skills (online project management software, digital communication software, file sharing platforms) and Microsoft Office suite).
- High level of professional integrity, motivation, creativity and autonomy to work remotely.
- Established home office and necessary equipment to operate as part of a dynamic and fast-paced team.
