Role Overview
As an Executive Assistant, you will work closely with the leadership team to manage day-to-day operations, coordinate activities, and ensure that tasks are completed efficiently. You will play a key role in managing schedules, communicating with stakeholders, and providing operational support that keeps our business moving forward. This role requires a highly organised individual with excellent communication skills, a strong sense of initiative, and the ability to handle multiple tasks in a dynamic work environment.
Key Responsibilities
- Provide support to the leadership team, including managing calendars and scheduling meetings.
- Act as a liaison between internal teams, clients, and external stakeholders to ensure smooth communication and coordination.
- Assist in managing day-to-day operations by organising and prioritising tasks, ensuring deadlines are met.
- Support project management by tracking progress on key initiatives and ensuring alignment with business goals.
- Manage email correspondence and respond on behalf of leadership when required.
- Identify opportunities to improve operational processes and implement solutions that enhance efficiency.
- Provide ad hoc support as needed, ensuring the leadership team can focus on high-impact activities.
- Assisting with finance including bookkeeping and keeping accounts up to date in QuickBooks
Key Skills & Qualifications
- Proven experience as an Executive Assistant or in a similar administrative role, supporting senior leadership.
- Excellent organisational and multitasking skills, with the ability to manage multiple priorities effectively.
- Strong written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders.
- Proficiency in using productivity tools such as Google Workspace and project management software like ClickUp.
- Ability to work independently, take initiative, and solve problems proactively.
- Strong attention to detail, ensuring accuracy in all tasks and deliverables.
- Experience in a fast-paced environment, ideally in an agency or start-up setting.
- Comfortable with remote work and managing virtual communication tools.
