About the Role

As a Project Support Officer at Novoplan, you’ll be part of our Customer Delivery Team, working closely with Project Managers to support the successful delivery of projects that empower our customers and drive lasting outcomes.

Your focus will be on ensuring smooth project operations by managing schedules, documentation, reporting, and communication. Whether it’s a new implementation or a returning customer, your role ensures every project is delivered efficiently, effectively, and in alignment with Novoplan’s values.

What You’ll Do

  • Support Project Delivery: Coordinate and maintain project plans, schedules, and reporting tools to keep projects running smoothly and on time.
  • Facilitate Meetings & Workshops: Organise project meetings and workshops, prepare agendas, document outcomes, and follow up on actions to ensure clear progress and accountability.
  • Manage Documentation: Maintain accurate records, registers, and project documentation that support traceability, compliance, and smooth knowledge sharing.
  • Support Communication: Liaise with internal stakeholders and customers to ensure timely, consistent communication throughout the project lifecycle.
  • Track Financials & Time: Assist with budget tracking, time reporting, and invoice processing to support efficient and transparent financial management.
  • Handle Change & Version Control: Help manage change requests and document control processes, ensuring clarity and alignment across teams.
  • Assist with Reporting: Prepare internal and customer-facing reports, dashboards, and presentations that enable informed decision-making.
  • Contribute to Continuous Improvement: Support the evolution of project delivery tools and processes through feedback, initiative, and collaboration.
  • Provide Team Support: Offer general administrative and operational assistance to ensure the Customer Delivery team operates efficiently.

What You’ll Bring

  • Fluent English communication (written and spoken).
  • Ability and willingness to travel for team offsites and client visits.
  • Proficiency in Microsoft tools (Outlook, Teams, Excel, Word, Power BI, Project).
  • Experience with Jira (Service Desk and Projects).
  • Familiarity with process mapping tools such as Visio, Lucid, or Camunda.
  • A Cert IV or Diploma in Business Administration, Project Management, or related field (or working toward it).
  • Experience in a project or program environment.
  • Some experience working with public sector organisations (desirable).
  • Familiarity with project methodologies (PMBOK, PRINCE2, Agile) is an advantage.

  • Must be an Australian Citizen or Permanent Resident, ideally located on the east coast
