YOUnique Psychology is a private psychology practice based in Murrumbeena, VIC. We offer neurodiversity-affirming therapy and assessments for individuals across the lifespan. We’re currently seeking a part-time admin whiz who thrives on bringing order to chaos and making life easier for others. The Practice Administrator (more officially) will support the day-to-day operations of the practice.
This role is remote (work-from-home), with only occasional on-site admin tasks or errands (non-client-facing). Living interstate is not a dealbreaker — we’re focused on finding the right person for the 99% of work that can be done remotely. If you're not local, we’ll adapt where needed.
About the Role
- Part-time (12 hours per week)
- Work from home, flexible across either:
- 3 hours/day, 4 days per week; or
- 4 hours/day, 3 days per week
- $30–$40/hour + 11% super, depending on experience.
- Initial 3-month probationary period, after which ongoing employment may be confirmed based on fit and performance.

Responsibilities
- Respond to client and referrer emails (written comms only)
- Manage appointment bookings, cancellations, and reschedules
- Be the first point of contact for clients outside of session times
- Upload documents and maintain practice records
- Follow up on incomplete forms and unpaid invoices
- Support psychologists with administrative needs and client communication (via email/SMS only)
- Follow and help improve SOPs and internal procedures
- Create, maintain, and improve clinic documents such as intake forms, referral templates, and information sheets
📌 Note: This role does not involve client phone calls.
Qualifications: What We’re Looking ForEssential:
- Strong attention to detail
- Excellent written communication (clear, calm)
- Ability to follow policy and procedure (both internal and external, e.g., NDIS, Medicare)
- Reliable, organised, and able to work independently
- High level of discretion and professionalism
Highly desirable:
- Experience working in neurodiversity-affirming environments
- Familiarity with Halaxy or similar client management systems
- Knowledge of NDIS, Medicare, and private health processes
- Previous experience in a health or allied health admin role
- Strong skills in formatting and refining documents (e.g. client forms, referral templates, info sheets)
- A good eye for layout, clarity, and consistent presentation
- Comfortable using Word, Canva, or similar tools to create and maintain clean templates
Requirements
- Legal right to work in Australia
- Due to the sensitive nature of client information, a current National Police Check (or willingness to obtain one) will be required prior to starting.
